TOPGYM is operated by PT TOP STRETCHING GYM, a company registered in Indonesia (business registration number / NIB 1302250134233), Jalan Pantai Batu Bolong No. 12, Canggu, Kuta Utara, Badung, Bali 80363, Indonesia. We run fitness and stretching studios in Bali.

PT TOP STRETCHING GYM is the controller of the personal data described here. This policy explains what personal data we collect when you visit this website, contact us, or become our client; why we need it; and what you can ask us to do with it. It is written for our operations in Indonesia and follows Law No. 27 of 2022 on Personal Data Protection (UU PDP).

For any question about your data, write to [email protected]. We answer within 14 days.

When you write to us in WhatsApp, Instagram Direct or Telegram, we receive and store:

• your account identifier in that messenger, and the display name and profile picture the messenger provides;
• the text of your messages and the time they were sent;
• voice messages, together with an automatic text transcript, so a manager can read what you said;
• your phone number or e-mail — only if you tell it to us yourself.

We do not store photos, videos or documents you send us. The conversation records that an attachment arrived (for example, [photo]), and the file itself stays in the messenger and is not copied to our servers.

If you become our client, we additionally keep what is needed to serve you: your name, memberships and purchases, class bookings, gym visits, payments, and notes our managers make about your requests.

When you use this website, our hosting provider records technical data needed to deliver the pages and keep the site secure, such as your IP address, browser type and the time of the request. If you fill in a form on this site, we receive what you enter in it.

We do not collect data about your health, religion, political views or other special categories, and we ask you not to send such information in chat.

This website uses cookies and similar technologies. Some are necessary for the pages to load and stay secure. Others help us understand how the site is used and show our own advertising to people who may be interested in our studios:

• Google Analytics (Google LLC) — statistics about visits: which pages are opened, from which country, on which type of device. We use it to understand what interests people, not to identify you personally.
• Meta Pixel (Meta Platforms) — records that you visited our website or a particular page, so that we can show our own advertising on Facebook and Instagram and measure whether that advertising works.

These tools set their own cookies and send data to Google and Meta, including your IP address and information about your browser and device. We use this only for our own analytics and our own advertising. We do not sell your data, and we do not pass it to other companies for their advertising.

You can refuse:

• block or delete cookies in your browser settings — the site will keep working;
• install Google's official "Google Analytics Opt-out" browser add-on;
• change what advertising you see in the ad settings of your Facebook or Instagram account.

We never see or store your bank card number. Payments are processed by our payment provider, and we receive only the result of the payment and a technical reference that lets us match it to your purchase. Full card details are entered on the provider's side and are governed by its own security standards.

Why we use it

• to answer your questions and keep the conversation in one place instead of scattered phones;
• to sell and provide our services: memberships, classes, personal training;
• to keep records required of us as a business — payments, visits, accounting;
• to improve service quality: we look at how fast we answer and how often requests are resolved.

We rely on your consent, given by writing to us or by signing our client agreement, and on the necessity to perform the contract between us. You may withdraw consent at any time — see "Your rights".

Outside working hours you may receive an automatic reply telling you when we will get back to you. Some replies are prepared with the help of automated tools. A message written by a machine is not presented as a message from a person, and a manager always takes over the conversation itself.
We do not make decisions about you automatically in a way that has legal or similarly significant effects.

Only our own staff, and only what their role requires: a receptionist does not see finances, a coach does not see client contact details. Every access is recorded.

We use the following service providers, each strictly to run the service:

• Meta Platforms — WhatsApp, Instagram and Messenger, the channels you write through; website analytics and our own advertising (Meta Pixel);
• Hetzner (Germany) — servers where the system runs;
• Cloudflare R2 — storage for voice messages;
• Groq (USA) — automatic transcription of voice messages;
• Xendit — payment processing;
• Google (Google LLC) — website statistics (Google Analytics) and encrypted backups (Google Drive).

This means your data is stored and processed outside Indonesia. We transfer it only to providers that commit to protecting it, and only as much as the task needs. We never sell your data and never pass it to other companies for their advertising. The analytics and advertising tools described above are used for our own marketing only.

Conversations and client records are kept while you are our client and for three years afterwards, so we can answer questions about past purchases and meet accounting obligations. Voice messages and their transcripts are kept for one year. After that we delete them or make them permanently anonymous.
If you ask us to delete your data earlier, we do so — except for records we are legally required to keep, such as payment documents.

You can ask us to:

• tell you what data about you we hold and give you a copy;
• correct it if it is wrong;
• delete it;
• stop using it for a particular purpose, or withdraw your consent;
• stop sending you marketing messages — this one takes effect immediately.

Write to [email protected] from the address or messenger account you used with us, or simply tell your manager in the chat. We reply within 14 days. If you are not satisfied with our answer, you may complain to the competent authority in Indonesia.

Access keys and message content are stored encrypted. Every employee has a personal account with a limited role, and access to client data is logged. Backups are encrypted and stored in more than one location.

If we change how we handle data, we update this page and the "last updated" date above. Material changes are announced in our channels before they take effect.
